This new module type will enable you to add a module to your courses that requests enrolled learners to upload a file. Admins can approve or reject the file that a learner has added. A File Upload module can be added to Online, Scheduled and Activity course types. Currently, this new module type allows learners to upload PDF, MS Word, PNG, & JPG files up to 500MB. We will be looking at supporting other files in the future.
Why have we added this new module type?
BlueVolt customers have asked that we enable a way for them to support a learner’s ability to add a file, such as a document or image, that can be attached to a course. Here are a couple use cases that have been described:
- We have a course where we provide a checklist of activities or duties learners need to perform. We can add a module to a course called File Download. This will then download the document to the learner’s computer. However, when they complete the checklist, they don’t have a way to upload it which will let the instructor or admin mark it a s done.
- We have a course where that teaches our learners how to configure something highly technical and instead of a written test at the end of the course, would like them to take a picture of their own configuration and upload the image where it can then be reviewed by and admin. Images accepted will then mark the course as passed and completed.
How to get started with the new module type
We suggest testing out the new module type by setting up 2 courses (one that will be approved, and one rejected) and testing them out as a learner to experience entire feature.
We suggest the following 4 steps to conduct this test:
- As an Admin: Create 2 courses with the new File Upload module
- As a Learner: Test the learner file upload experience
- As an Admin: Approve/Reject Submitted Files
- As a Learner: Test the learner approved/rejected file experience
Part A: Create 2 test courses
We recommend that you set up two test courses, one to experience the approval process and one to experience the rejection process. While setting up these courses, you will need to add at least one File Upload module type to each course. Feel free to add other module types if needed, however, they are unnecessary for testing purposes.
- Go to Admin > Training > Content > Courses > Add a Course
- Tab 1. Course:
- Name: Test Approval Course
- Type: Online Course
- Status: Active
- Tab 3.Module:
- Add module type
- Module Name: Upload a Pic
- Module type: File Upload
- Enter a Title and Body that will display as instructions to the learner
- Tab 4. Settings:
- Check Show in Catalog
- Pick a Category for your course
- Save & Exit
- Repeat above steps and name the course Test Reject Course
Part B: Test the Learner File Upload experience
Now that you have set up your two test courses, it’s time to enroll and test things out from the learner’s perspective.
- Click the Back to University button from the admin side
- In the Search bar, enter test to locate the Test Approval Course
- Enroll in the course and complete the File Upload module by uploading an image
- Repeat Step 2 and Step 3 for the Test Reject Course
Part C: Approve/Reject Submitted Files
University Admins, Course Instructors and Group Admins can review and approve or reject submitted files. After you submit a file for your two courses, go to the admin side to approve or reject the files.
- Go to Admin > Training > Student Management > Submitted Course Files
- Click View for the Test Approval course
- Enter a comment
- Click Approve
- Click View for the Test Approval course
- Enter a comment
- Click Reject
Part D: Test the learner Approved/Rejected File Experience
The two test courses should now have a response from the admin. The learner will receive an email that their file has been approved or rejected. You can also go directly to the course and view the results from the learner’s perspective.
- Click the Back to University button from the admin side
- In the Search bar, enter test to locate the Test Approval Course
- Open the course to view detail for the approved file
- Repeat Step 2 and Step 3 for the Test Reject Course
- Try resubmitting another file for the Test Reject Course. Note: The admin will be able to either approve or reject the resubmitted file on the Submitted Course Files page.
